Importing prompts
Bring a list of prompts in from a CSV file, with a category and an intent for each. This page gives the file format, what happens to prompts you already track, and how to get the list back out.
How to import
- Open the site’s Prompts page and press Import.
- Drop a file on the dialog, or click browse. Files ending in
.csv,.tsvor.txtare accepted. - Check the preview. It shows the first five rows and a line such as “12 new · 3 already tracked”. Nothing is stored at this point.
- Press Import.
Download template in the dialog gives you a file with the right header and two example rows.
Importing asks nothing of any assistant and costs nothing. The new prompts are asked the next time you run a scan.
Columns
A file has up to three columns. Only the prompt is required.
| Column | Header | What goes in it |
|---|---|---|
| Prompt | prompt, query, keyword, search term, question or text, among others | The question. Text longer than 500 characters is cut at 500. A row with fewer than 3 characters is skipped. |
| Category | category, group or tag | Your own label. May be empty. Several categories go into the same cell, see below. |
| Intent | intent | informational, commercial, transactional or navigational. Empty or anything else becomes informational. |
prompt, category, intent "Which email marketing platform is best for a small online shop?",choosing a tool, commercial "How do I improve the deliverability of my newsletters?",deliverability, informational "What does email automation cost for 10,000 contacts?",pricing; choosing a tool, commercial
- Cells can be separated by commas, semicolons or tabs. Teddit tells which from the file, so a CSV saved by Excel in any region, or a tab-separated export, works as it is.
- Put a cell in double quotes when it contains the separator, the prompt above all. Without the quotes, the text after it is read as the next column. A double quote inside a quoted cell is written twice:
"". - One prompt per row. A quoted cell may run over several lines.
- The file can be UTF-8 or the older encodings Excel uses (such as Windows-1251 for Cyrillic), or Excel’s “Unicode text”.
- Empty lines are ignored, and spaces around a cell are removed.
- Two more intent words are understood, because keyword tools use them:
researchis stored as commercial, andlearn and solveas informational.
With and without a header row
The first line is read as a header when one of its cells names the prompt column: prompt, query, keyword, question and similar names, in English, Ukrainian or Russian. Upper and lower case do not matter.
- With a header, the columns are found by name: the prompt column, then the category and intent columns wherever they are. The order is free, and any other column is ignored. An export from a keyword tool usually works as it is.
- Without a header, every line is a prompt and the columns are read by position: prompt first, category second, intent third, the same order as an export.
A file with a single column and no header is simply a list of prompts, one per line. Quote the prompts that contain a comma.
Several categories for one prompt
Write the categories in one cell, separated by a semicolon or a vertical bar:
prompt, category "What does email automation cost for 10,000 contacts?",pricing; choosing a tool "Which tools send both email and SMS campaigns?",channels | choosing a tool
- In a file separated by semicolons, put such a cell in double quotes.
- A prompt can have up to eight categories. Any after the eighth are dropped.
- A category that is repeated in the cell is kept once. “Pricing” and “pricing” are the same category; the spelling written first is kept.
- A category that does not exist yet is created by the import.
- The first category in the cell is the one the list sorts by.
Duplicates and prompts you already track
A row matches an existing prompt when the text is exactly the same, letter for letter.
| Row | What happens |
|---|---|
| New text | A prompt is added with the row’s categories and intent. |
| Text already tracked on this site | No second prompt is added. The existing prompt keeps its answers, its history, its intent and its status. If the row names categories, they replace the prompt’s categories. If the row’s category cell is empty, the prompt’s categories are left as they are. |
| The same text twice in one file | The first row adds the prompt. The second is treated as already tracked. |
| More new rows than the site’s prompt limit allows | Rows are added until the site reaches its prompt limit. The rest are skipped. |
The preview counts these cases before anything is stored: new, already tracked and skipped.
The status of imported prompts
Prompts imported with the Import dialog are active. They are part of the next scan.
Prompts imported through the REST API or the MCP tool import_queries are drafts unless the call asks for active. A draft is not scanned. When a site has drafts, the Prompts list shows a Draft tab; tick the prompts there and turn on Active to make them active.
Every imported prompt remembers the text it was imported with. Through the API or MCP you can have short search queries rewritten as full questions afterwards (rewrite_queries). The rewrite touches only imported prompts whose text has not been edited since.
Export
Press CSV on the Prompts page. Choose all prompts or one category and download the file. It is named prompts-<domain>-<date>.csv and has one row per prompt.
| Column | Content |
|---|---|
ID | The prompt’s number, the same one the API and MCP use. |
Prompt | The text. |
Category | All categories of the prompt, joined with ; . |
Cluster, Source | Where the prompt came from: manual for typed prompts, keyword for imported ones. |
Intent, Funnel, Status | How the prompt is filed, and whether it is active, paused or a draft. |
ChatGPT, Claude, Perplexity, Gemini, AI Overviews, AI Mode | One column for each assistant that has answered on this site. The value is the verdict of its latest answer: mentioned, cited (linked but not named), not mentioned, failed or not scanned. |
Best rank | Your best place among the brands named, across the assistants. Empty when no assistant names you. |
Last scan | The date the prompt was last answered. |
An exported file can be imported again as it is, into the same site or another one. The Prompt, Category and Intent columns are found by name and the other columns are ignored.
The same rows are available as JSON from the API (GET /api/projects/:id/prompts) and from the MCP tool list_prompts. The API also takes the list’s filters on the export address; see Endpoints.
